Relevant Matters Need Attention

Distinguished Guests, Ladies and Gentlemen,

The Fourth Conference of World Youth Buddhist Society (WYBS) in 2014 will be held in this

August at The Hong Kong Institute of Education (HKIEd). For your convenience, please read through this notice before your arrival in the Conference.

I. Conference Timetable:

1. Registration Time: 9:00-21:00, 31 July, 2014. (If your arrival is later than this time, please contact us in advance.)

2. Event Dates: 1-5 August, 2014. (Please do not leave the event halfway through unless necessary.)

3. Registration Venue: HKIEd, Tai Po Campus, Hong Kong, includes:

a. Academic Building, Room B4-LP-12

b. Jockey Club Student Quarters, First Floor

II. Notes:

1. Accommodation: The Conference attendees will be accommodated at the Grantham Hall , Robert Black Hall and the Jockey Club Student Quarters . It is a six-day stay from 31 July to 5 August. You can check in after 12: 00, 31 July.

2. ID Papers: Please make sure to well bring with your own ID card, Exit-Entry Permit to and from Hong Kong and Macau (Exit-Entry Permit), or passport.

1) Please make sure that your Entry-Exit Permit is valid.

2) For attendees from mainland China, please had better arrive on 31 July so that your seven-day stay will remain valid throughout the event.

3) Please take with your own ID papers all the time in case that the police might check. If lost, please report to the police immediately.

4) If your Exit-Entry Permit is under the category of group visa, please send an e-version of the following documents to yangxiao_yx@hotmail.com so that we can help with your customs check.

3. Please Bring Your Own Toilet Requisites.

1) For the sake of environmental protection, the Conference will not provide attendees with toilet requisites such as towel, toothbrush, toothpaste, shampoo, bath lotion and so on, slippers, drinking cup, travel adaptor (with the British Standard 110V), hair dryer, etc., which thus should be prepared by the attendees on your own;

2) If you do not have an Octopus Card, please make sure to have brought enough HK$ coins with you. And the currency exchange service is available at every customs port after entry.

4. Articles to be supplied by the Conference

1 For each attendee: a windbreaker, two T-shirts, a bath towel, three clothes hacks, an umbrella, as well as some Conference souvenirs (e.g. relevant proceedings, the book of Ti Tzu Kui , and the Bodhisattva Practices , a reusable bag, a hanging scroll of the portrait of The Avalokitesvara, and a Conference CD).

2) One travel adaptor is provided in each room.

3) Every suite is provided with a box of tea bags, a bag of washing powder, a dish cloth and a box of tissues.

5. Meals: The Conference will make the unified arrangement of meals (from the lunch on 31 July to the breakfast on 6 August) at YanShanFang dining hall, Block C, HKIEd.

6. Weather: Hong Kong in August is in the rainy season. The temperature is around 25 to 32 degree Celsius during this event. It is more humid than mainland China. Due to the low temperature of room air conditioner, please take necessary prevention measures for significant temperature difference between indoor and outdoor places.

7. Transportation: Please refer to Route Directions to the Conference below.

8. Communication: Before your arrival in Hong Kong, it is suggested to open the mobile roaming service for your cell phone in advance, so as to ensure that your mobile is in normal use at Hong Kong and our volunteers in the Conference Organizing Team can keep in touch with you at any moment.

Annex: Route Directions to the Conference

Route Directions to the Conference

I. Transportation Guidelines

1. By Air

1) From Shenzhen to Hong Kong: You can take the subway from Shenzhen Baoan Airport to Luohu Station, and then take the exit to Luohu Customs Port for entry into Hong Kong, with the whole distance taking about 1.5 hours.

2) If your flight arrives directly at Hong Kong International Airport, you can go through the customs checks at the airport.

2. By Train

After getting off the train at Shenzhen Railway Station (Luohu Railway Station), you then take the exit to Luohu Customs Port for entry into Hong Kong

3. By High-speed Rail

You can also take the High-speed Rail to North Shenzhen Station, and then take the subway Longhua Line to the Convention Centre, transfer to Luobao Line and get off from Luohua Stop. Then get out from Exit A and walk for about 500 meters to Luohu Customs Port. The whole distance will take 45 minutes.

II Route Directions to Customs Checks (hereinafter the Green Taxi is referred to as “GT” )

1. Through Luohu Customs Port (for attendees from mainland China)


NNote: 1. Luohu Check-in Time: 06:30-24:00;2. Attendees under the group visa should arrive collectively in the No. 7 Gate on Floor 2, Luohu Customs Port (nearby the KFC there), to facilitate going through customs checks; and other attendees may also gather here when in need of help; 3. Here is the only one reception.

2. Through Hong Kong International Airport (For international attendees by air ) :

Note: The airport bus E41 costs HK$13.90. Please prepare by yourself the exact petty cash for no change will be given back.

III. Notes:

1. As for attendees arriving in the reception at Luohu Customs Port (only for attendees from mainland China), please well identify our volunteers who are in white T-shirts and wear the plate with “ 研討會接待組義工

2. As for attendees arriving in Hong Kong International Airport directly, please look for the the volunteers wearing pick-up card “Pick-up Team”.

3. If on 31 July attendees under the group visa encounter any delay of flight or liner sequence, with the expected time later than 21:00 for their arrivals at Luohu Customs Port, such attendees must inform the volunteers there such situation before 18:00.

4. After arrival in Hong Kong, attendees are recommended to buy the first time an Octopus card (available at each train station, rechargeable and refundable when no longer for use) to facilitate traveling.

5. If with no Octopus card, you may pay with HK$ coins, so please prepare by yourself the exact petty cash and, if in need of money conversion into HK$, please find the exchange location after going through each customs port in Hong Kong.

6. In Hong Kong and Macao cars go on the right side of road, in difference to the case in the mainland China, and therefore, please pay attention to the situation in the right direction while going across the street, and abide by the indications of traffic lights.

7. Due to much concern on urban environmental and sanitation management in Hong Kong, please be care of no littering, no spitting or no smoking in public places, thereby to protect public health.
